Privacy Policy

BikeConnect operates Bike programs for organizations so that universities or public agencies can encourage their members to make better use of bicycling. The nature of the services we offer can require us to request some personal and geographic information that is specific to you or the individual ('Personal Information'). Providing any such Personal Information is entirely voluntary and at person’s discretion. This document describes the types of Personal Information we request, why we request it, whether we store it and how we use it to provision our services.

The organization (‘Our Client) may configure a bike management service (‘The Service’) built on top of our technology platform. This service may include (but is not limited to) the following types of components: web sites, custom software applications built using our developer APIs, or ID badge readers connected to our servers and software platform.

By accessing The Service, you agree to accept the Privacy Policy and the User Agreement and you expressly consent to our collection, storage, use and disclosure of your Personal Information as described in this Privacy Policy. This Privacy Policy is effective upon acceptance for new users.

BikeConnect or entities with which it does business will never sell or rent your Personal Information without your consent.

The record of the trips you take with and report to BikeConnect is valuable for assessing the ability to reduce traffic, fuel consumption, and CO2 emissions. As part of our effort to achieve these goals, BikeConnect’s clients may share the collective usage patterns of the Service with government organizations and other relevant 3rd parties. However, prior to any such sharing, we will either secure your consent or strip all Personal Information from the data and aggregate the resulting non-personal information so it no longer reflects the usage patterns of any particular user.

During registration and during your subsequent use of the Service, we may collect and store your Personal Information. This information includes, but is not limited to, your name, your employer, and contact information such as your email address and/or mobile phone number. Depending on how our client has configured the service, we may also attempt to collect and store other types of personally identifying data. Finally, in order to implement single sign-on (SSO) or other authentication strategies, our client may share with us certain elements of your Personal Information before you first register for the service.

You may be asked to report commute activity by day and by mode to help our client accurately track the use of bike commuting with the organization's members. You may also be asked to provide information that can help BikeConnect identify potential cyclists to match and to provide you with relevant options to integrate public transit or private shuttles into your commute plan. In order to facilitate the provision of such information, BikeConnect may request the date and or time you plan to travel and the location (start and end point) of a trip or trips you plan to take. As categorized below, we may communicate certain portions of this information to other users of the Service as a way of introducing users who might share a ride in a carpool or vanpool.

We may maintain records of every trip you plan to take with BikeConnect. One reason to retain this data is to allow you to review your recent trips. Another reason is to aggregate the records with other individuals records, removing Personal Information in the process, and use the resulting statistics to help a bike program administrator at our client understand the bicycle behavior of members of our client. Records of your bike trips combined with any information identifying you as an individual shall not be accessible to the public or to other individual users unless you create an open use account. A program administrator at our client may request and receive records of your trips.

By accessing the Site and Service, we may collect and store logs and statistics relating to your use of the Site and Service including (but not limited to) sign-on data, page view counts, site navigation patterns, source IP addresses, etc. This information will be used strictly for internal engineering, design and other similar purposes.

BikeConnect will store your Personal Information on our servers until our client asks us to stop hosting their bike management program and/or services. If the Service is shut down, we will immediately delete all of your Personal Information from our databases.

If you wish to correct or delete any of your Personal Information that is stored on our servers, you may contact our support team at It is our goal to respond to all such requests within 2 business days.

If your personal data is removed from servers for any reason, it may remain in our backup copies for up to 14 days.

A 'Cookie' is a small file containing information that is sent to your computer when you visit a website. When you visit the website again, the Cookie allows that site to recognize your browser. BikeConnect requires users to enable session Cookies in order to use the service. To improve your user experience while using the BikeConnect service, we use persistent Cookies to remember users and some of their site preferences (like has a user previously accessed a particular web page). This information is saved on your computer even after you close your web browser. You can set your web browser to refuse persistent Cookies by selecting not to store Cookies when you exit from a browser session. Some website features or services may not work as expected with persistent Cookies disabled.

BikeConnect uses industry-standard efforts, including (but not limited to) firewalls, encryption, and managed anti-virus software, to safeguard the confidentiality of your personally identifiable information. However, perfect security does not exist, and BikeConnect does not guarantee that any personally identifiable information provided to us will not become public under any circumstances.

There are certain scenarios in which BikeConnect may disclose your Personal Information to 3rd parties. We may disclose such data to:
  • Our Client.
  • Entities with which BikeConnect may do business in order to deliver the services to you (such as to host the service at a co-location facility for servers) that have agreed to abide by a privacy policy as protective of, if not more protective of, Personal Information than this one.
  • Other 3rd parties to whom you have authorized us to disclose your Personal Information.
  • Law enforcement or other governmental agencies serving legal process that in our sole discretion appears to be valid. We will comply with warrants, court orders, or subpoenas seeking Personal Information.
  • Any entity that succeeds to the business of BikeConnect, whether through merger, sale of substantially all assets, or sale of assets in connection with a bankruptcy, receivership, or similar proceeding.
BikeConnect may amend this policy at any time by posting the amended policy on the Site and indicating the effective date of the latest revision at the beginning of the policy. Except as stated elsewhere, all amended terms shall automatically be effective immediately after they are initially posted on the Site. Additionally, we will notify you through email, using the email address you provided during registration or the email address you most recently designated as primary in the settings section of the Site. Your use of the Service after the effective date evidences your acknowledgement and acceptance of any amended privacy policy.
